Transfer Credit Petition

Can I transfer credits received from my previous school to count towards completing my ITU degree program?

The Department Chair grants final approval for transfer credit requests, as subject to the following criteria:

(1) Only courses earned with grades of B or above are eligible for credit transfer.

(2) Only courses completed at accredited U.S. institutions are eligible transfer. Accredited institutions are those recognized by the following regional and national accrediting agencies: ACICS, MSA, NEASC, NCA, NWCCU, WASC, and SACS.

(3) The maximum number of transfer credit hours is nine (9).

(4) Courses transferred must be equivalent in level and content to specific courses offered in your ITU degree program.

(5) The courses to be transferred may only substitute for electives, but not for core or capstone/thesis courses in the ITU degree program.

(6) No transfer credit petition will be accepted before the student begins classes at ITU.

(7) Grades from previous institutions will not be transferred and will not affect the career GPA.

Is it mandatory for the student to fill out “Equivalent Courses” at ITU?

Yes. Please find the course information in the ITU catalog. If there are no equivalent courses offered at ITU, the credits are not transferrable.

What is the deadline to submit my transfer credit petition?

This petition form and all required documents must be received by the The Office of the Registrar before the end of the student’s first trimester at ITU.

How do I submit my transfer credit petition?

Complete the Transfer Credit Petition, listing the courses for which you wish to transfer credits. When you submit your request, you must also attach the following documents:

(1) Course syllabi for the courses you are requesting approval to transfer credits.
(2) Course descriptions for the courses you are requesting approval to transfer credits.
(3) Sealed official transcript from the previous institutions where the coursework was completed. Opened or unsealed transcripts will not be accepted.

Submit your transfer credit request in a single package in person or by mail to the Registrar’s Office. The package should be labeled “Attention: Registrar’s Office.” Do not submit the request on support.itu.edu. No electronic copies will be accepted.

When will I receive a decision regarding my request?

Department Chairs will review your petition. It will take 6 -8 weeks. After your request has been evaluated, the Registrar’s Office will send you the final decision via e-mail.

Request Transcripts & Grade Reports

You must completely fill out Official Transcript Order Form and submit it along with your required payment to ITU’s Department of Accounting Services. Please allow 7-10 business days for your request to be processed. The Official Transcript Order Form can be found on the “Forms” link in the top navigation menu.

Payment information:

  • Online payments: You can submit your Official Transcript Order Form to the Department of Accounting Services on this page and your credit/debit card payment online at MyITU. (You can make your payment even if your balance is $0.)
  • If paying by cash, please stop by in person to our Department of Accounting Services.
  • If paying by Credit Card, please pay through MyITU or by cash/check and submit it along with Official Transcript Order Form to the ITU Department of Accounting Services. The ITU Department of Accounting Services fax number is 408-400-2271. Any authorization form sent through email will not be accepted.
  • If paying by check, please make the check payable to ITU, please stop by in person to our Department of Accounting Services to submit your check payment along with your Official Transcript Order Form. You can also mail the check payment along with your Official Transcript Order Form to:

Maximum Course Load Per Trimester

The maximum course load for any graduate student in one trimester is thirteen (13) credit hours. Continuing students are eligible to register for a maximum of ten (10) credit hours during the registration period. Students wishing to register for the eleventh (11th) through thirteenth (13th) credit hours must follow special registration procedures, as prescribed by the Office of the Registrar. Petition to Graduate
For questions regarding graduating in Fall 2014, please contact the Registrar’s Office by submitting a ticket through this page.

When and what should I submit in order to Graduate?
Effective Spring 2015, The Petition to Graduate form and the preliminary check list approved by your academic counselor must be submitted by the second Friday of the Regular Registration period for your last trimester. The fee is $200 (plus any applicable mailing cost).

How do I file the documents?
Both forms should be scanned (not taken as pictures) and submitted as a pdf attachment through this page.

When do I pay the fee?
You will be contacted when a charge has been generated by the Department of Accounting Services. You will be able to pay on MyITU.

What happens after I submit my Petition to Graduate?
After your last trimester grades are posted, the Registrar’s Office will also conduct a formal audit of your records before your degree is officially conferred.

When will I receive my diploma?
You can expect to receive your diploma two months after the last day of your final trimester. The Registrar’s Office will email you once your diploma has been processed.

What if I fail my courses during my last trimester?
If you were eligible to graduate but failed your remaining courses, you must IMMEDIATELY notify the Registrar’s Office through this page. You will be advised on what additional course(s) to take.

Diplomas

How will I receive my diploma?
Your diploma certificate can either be mailed to your preferred address or picked up at the Student Information Desk. Diploma certificates can be sent to you by ground or overnight shipping. An additional postage fee of $25 is required for ground shipping and $50 for overnight shipping. If you plan to pickup your diploma please remember to bring a valid photo ID with you.

I lost my diploma. Can I receive another copy?
If you need a replacement diploma please submit a Replacement of Diploma Application through this page.

When will I receive my diploma?
You can expect to receive your diploma two months after the Expected Conferral Date:

  • January 31st for Fall
  • May 31st for Spring
  • August 31st for Summer

The Registrar’s Office will email you once your diploma is processed.

Policy on Adding and Dropping Classes

The add/drop period is provided to students as an opportunity to refine class schedules by adding or dropping classes as needed.

Adding Classes

Students can add classes to their schedule up until 11:59PM, Friday of the second week of class. Requests after this date will not be accepted. In order to register for more than 10 credit hours, you will need to submit a request to the Registrar’s Office through this page, before the stated deadline. You cannot register for more than 13 credit hours.

Dropping Classes

You can drop a course at any time. However, there are academic consequences to doing so outside of the drop period. The drop period varies for different courses. Please refer to the table below for details.

*Weekday on-campus course is taken to mean an ITU course that meets face-to-face once each week of the trimester (16 weeks total) on campus. This may include classes that meet on Saturdays or Sundays, for a total of 16 meetings.
**Weekend on-campus course is taken to mean an ITU course that meets face-to-face six times per trimester on campus. Weekend on-campus courses are intensive and span the majority of both Saturday and Sunday for three given weekends.
